BW Offshore is currently looking for a professional Receptionist to man the front desk at our Oslo office. The reception serves different departments at all levels of the Company with travel coordination and support during external meetings. Your scope will also consist of various Office Administration tasks, depending on your background and strengths.

We are looking for an outgoing Receptionist with excellent teamwork skills. You will be working in the Administration team, and report to the Manager HC & Admin, Norway & Europe. As the Receptionist at BW Offshore, you will be the face outwards for visitors and guests, and professionality is key to succeed in this role. If you also have experience from posting news and general information on internal information channels (intranet etc), it is a plus.


Key tasks and responsibilities

  • Manning front desk:
    • Ensure daily operations are running smoothly, and maintain the cleanliness and appearance of the front desk and office premises in general
    • Coordination of and assistance with external meeting rooms, including coordination of catering
    • Prepare and order business cards for employees
    • Administration and handling of all post, courier and other communication
    • Administration of local section of intranet
  • Travel Coordination:
    • Make travel arrangements for staff in accordance with Company travel procedure, including visa application processes when required
    • Make travel, transport and accommodation arrangements for visiting staff
  • Office Admin responsibilities:
    • Make sure that the social zones and print areas in the office are tidy and adequately stocked at all times
    • Administration of first aid, stationary and other office/pantry supplies
    • Be a member of the office Emergency Team
    • Support the Admin and HC teams as required


Qualification requirements

  • College degree or other relevant education or background is preferred, but not a formal requirement.
  • Experience from similar positions will be advantageous, especially from international business and cross-cultural environments
  • Experience with switchboard system is an advantage

  • Good interpersonal and communication skills
  • Proficient in English and Norwegian (oral and written)
  • Proficient in MS Office applications


All candidates are expected to have a positive and professional approach and to be comfortable taking responsibility. Experience from working in an international company or with relevant tasks is therefore a great advantage. English is the business language in the office, and proficiency is a requirement. In addition, you must be fluent in Norwegian.
